Laira Greenshoots Community Forum

Minutes from meeting held Monday 23rd January 2012

Attendees: Zoe Foster, Katusha Edwards, Emma Lynch, Janie Paxton-Yeo, Hayley Short

Feedback from Christmas Fayre 2011

• Forum agreed that we need to have a bigger chocolate tombola and smaller general tombola at next fun day/Christmas Fayre.
• We must have three people serving refreshments in the hall as so busy
• Ensure volunteers are spread appropriately between busy and less busy games.
• Tank game – need paper towels/towel in future.
• Shortage of parent volunteers – ensure in future the letter requesting help is worded to emphasise the importance of parent help.
• Traders – need to be advised at time of booking that the event will be busy and to arrange their own cover of table should they require a break.
• Katusha suggested selling cans of drink by the Barbecue at future events – all agreed was a good idea.
• It was suggested that games such as “guess number of sweets in jar” to be placed next to a busy game to increase popularity.
• Rather than “guess weight of cake game”, maybe have something more fun to attract the children. i.e. “guess number of balloons”.
• Need more 10ps in floats.
Treasurers update

• Income from Christmas Fayre 2011 was £2,216 – including traders and pre-raffle sales. Total expenditure was £581. Total profit was £1,634.
• Current LGCF bank balance is £4,923. £2,000 of that is to go to Nethercott Farm trip. We also have approximately £450 in a separate bank account being held to spend on playground projects.
• Katusha advised all that she has arranged dates for this year for Bags to school which are as follows – collection dates of bags are Wednesday 9th May am and Friday 12th October am.
• Katusha to email Jenny Periton asking when the money for Nethercott Farm is required by the school.

LGCF Newsletter

Emma to write a newsletter as soon as possible, to include the following details:
• Profits made at Christmas Fayre
• Re-iterate £2,000 for Nethercott Farm trip
• Food events have raised £450 for playground projects
• Express thanks to volunteers, highlighting how the success of events depends on their help.
• Calendar of future events until end of academic year
• Easyfundraising website
• Parents can use school website to contact us or leave a message at the office.
• Newsletter to go to all pupils of school and Greenshoots, staff and Dave Spence.
Future events – proposed dates

• Pancake Day – Tuesday 21st February – sell pancakes in Lower Hall plus hot and cold drinks. Cater for 150 people. Janie to speak to school cook to see if able to donate any ingredients. Need to check what we have in store cupboard that can be used. Emma to draw up flyer and poster. Flyer to be distributed to pupils on Friday 10th February and posters to be displayed from Monday 20th February. Emma to ensure a parentmail is sent out as a reminder on Tuesday 21st February.
• Easter discos – Wednesday 28th March.
• Table Top sale – April
• Bags to school and food event – May
• Event to celebrate Diamond Jubilee / Mufti day – Friday 1st June – mufti day proceeds to be donations to be used for Summer Fun day tombolas.
• Summer Fun Day – Saturday 30th June
• Table Top Sale – September
• Halloween Discos – October
• KS2 Film Night – November
• Christmas Fayre – December

Hayley to confirm all dates with Miss Bailey.

Other issues

• Janie’s proposal of running “Teatime Tuesdays” to be discussed further.

• Janie to book mobile bowling alley from Ten Pin Bowling for Summer Fun Day.

• Hayley to ask Miss Bailey if the school are doing anything for the Jubilee.

• Dave Spence has asked the Forum if we can replace the slide in infant’s playground at a cost of £200– we have said yes – Hayley and Katusha to liaise with Dave/school accordingly.

• Katusha to obtain updates regarding the KS1 playground project from Mrs Norgate.

• Hayley to speak to Miss Bailey asking if some Forum members can attend a staff meeting to introduce ourselves and tell them they can approach us if need anything for their classes. Further to meeting, Hayley has advised that Miss Bailey has agreed that we can attend the next staff meeting being held on Thursday 26th January at 3.10pm. Emma and Janie to attend.

• All Forum members to consider how we can possibly incorporate the Olympics into an event.
Our next meeting will be held on Monday 6th February at 9am.
